FABRIC is recruiting for a new Finance Coordinator to take an active role in the business administration of our busy organisation.
FABRIC is a strategic dance development organisation based in Birmingham and Nottingham, created from the recent merger of DanceXchange and Dance4, bringing together over 60 years of combined experience. Our vision is to inspire people through dance, transforming lives, communities and places.
The Finance Coordinator will carry out financial clerical duties in line with FABRIC financial policies and procedures, including day-to-day bookkeeping, bank reconciliation, payroll support, processing of sales and purchase invoices, and other administration duties that support the business and programmes of FABRIC.
We are seeking candidates with at least two years’ experience in a finance/bookkeeping role, with an AAT Qualification or equivalent training/experience, excellent numerical and analytical skills, strong attention to detail, and experience of accountancy packages, ideally SAGE – along with strong communication skills, excellent administration skills, and a positive, proactive, approach. Management: Reports to the Head of Finance.
The post works across the organisation therefore some aspects of work may be overseen by other members of the senior management team.
Purpose of the Post
To perform financial clerical duties in line with FABRIC financial policies and procedures, including day-to-day bookkeeping, bank reconciliation, payroll support, processing of sales and purchase invoices, and other administration duties that support the business and programmes of FABRIC.
Key Responsibilities
• Work with the Head of Finance to ensure accurate accounting records are kept and maintained.
• Perform general finance clerical duties including, but not limited to, bookkeeping and banking duties, and inputting of data into the SAGE accounting systems.
• Input purchase ledger invoices and produce sales invoices.
• Carry out the reconciliation of class takings and other sales, along with company banking and reconciliation of petty cash.
• Respond proactively to payment-related enquiries, ensuring FABRIC processes are followed.
• Assist with ticket and merchandise sales across FABRIC’s programmes both on and off site, and carry out related troubleshooting for customers.
• Work with the Tessitura online booking system, to assist with customer bookings, reporting and administrative tasks, and troubleshoot issues as required (Training will be provided)
• Produce data for payroll purposes using monthly staff timesheets and SAGE payroll.
• Assist with financial record keeping for the Centre for Advanced Training programme, including grant applications, payments and bursaries.
• Provide operational and administrative support to FABRIC’s work programmes, projects and activities as appropriate.
General
• Ensure that FABRIC is a welcoming, professional, and safe environment for all and that we offer the highest possible standards of customer service.
• Be well informed about all aspects of FABRIC’s work, in order to provide an efficient service.
• Act as a point of contact for general enquiries, as required.
• Maintain discretion and confidentiality at all times.
• Ensure that all company processes, policies and procedures are adhered to, including the FABRIC accounting policies, anti-fraud policy and data protection policy, and comply with accounting standards.
• Travel to FABRIC’s Nottingham site on occasion, as appropriate.
• Provide front of house cover for FABRIC and Dance Hub Birmingham activities and act as Fire Marshal, as required.
• Work in a way which embeds and celebrates diversity and promotes inclusivity.
• Act as a positive advocate of FABRIC at all times.
• Carry out any other tasks as may be agreed with members of the FABRIC Management Team
Person Specification
Qualifications
AAT Qualified or other relevant qualification/experience
English and Maths at least to Level 2 (e.g. GCSE Grades A-C / 9-4)
Experience
A minimum of two years’ experience in a finance/bookkeeping role
Experience in using accountancy packages. Working knowledge of SAGE would be advantageous.
Experience of working in a relevant role in an arts or charitable organisation would be useful but not essential.
