Service Administrator

RSVP is delighted to be supporting a highly successful Catering Engineering company in its quest to find a capable and professional part-time Service Administrator who will be the first point of contact to the company from all its clients across Scotland.
Based in West Calder with customers across Scotland, the successful applicant will play a vital and integral role in ensuring that all customers are supported professionally and timely to ensure that the impact to their business due to catering and refrigeration faults is kept to a minimum.
This is a part time role, 24 hrs per week, initially to cover maternity leave, however for the right candidate it could then lead to a permanent admin role within the wider business.
This is an office-based role initially with potentially the ability for some flexibility at a later date.
Service Administrator roles and responsibilities will include:
· Answering customer breakdown/installation/servicing calls and logging onto specialist software
· Allocating and scheduling jobs to engineers based on location expertise and priority of the call
· Maintaining communication with your customer to ensure kept up to date regarding engineers’ attendance
· Creating and submitting job quotes to customers based on information from Engineer on site
· Ordering parts from company suppliers
· Organising sub-contractors if required
· Ensuring all job sheets are forwarded to the accounts department for invoicing.
· Other admin tasks as and when required.
The Person:
· Previous Administration Experience, preferably in a similar role
· IT literate
· Proficient in Microsoft Word and Excel
· Excellent communication and call-handling skills
· Good organisation skills with the ability to prioritise
· Flexible approach to tasks required
· Basic geographical knowledge of Scotland to improve job allocation
· Able to manage difficult situations
· Able to work under pressure
