P+S Personnel are pleased to be working on behalf of our clients, who are currently seeking an Operations Support Coordinator to join their team on a full-time permanent basis based in Diss.
Role Summary:
To provide administrative support to all Teams in the management of their functions.
Ensure compliance with Company operating procedures for own areas of responsibility.
Main Responsibilities:
Logging of enquiries on Company systems for TTL opportunities ensuring completeness of information, creating necessary email rules and job files, preparation of client specific quotations using Company approved templates in a timely and efficient manner.
Process operational timesheets and documentation and highlight any issues reported to the appropriate Team(s) for action.
Raise purchase orders for travel and goods receipt as necessary in accordance with the Purchasing Policy, processing related invoices and expenses.
Provide support in arranging third party repairs and testing at client’s premises/location.
Support key projects and tenders from feasibility stage to start-up as directed by the Project Management Team
Complete monthly close out procedures for all operational job files ensuring all actions are captured and to facilitate the completion of the monthly HSE statistics.
Record equipment usage and cargo throughput for Company assets.
Ensure completion of hours for each operation and submission for review by the Marine Team.
Maintain oversight of documents, certification and matrix in accordance with Company procedures, inform relevant parties of non-compliance issues.
Facilitate the recruitment, training, audits and reviews with regards to scheduling and paperwork as requested.
Ensure appropriate PPE is provided to POACs in accordance with Company PPE requirements and maintain HO stock levels.
Support the setup of new bases as required providing details of status and availability of equipment.
General Duties:
Demonstrate a high level of attention to detail and a thorough knowledge of the Company’s operating procedures and systems.
Management of owned and delegated Company procedures in compliance with change control processes giving due consideration to privacy and security
Formatting and proofing of documents required for presentations, proposals, reports and tenders in line with Company formatting and branding.
Logging of marketing visits on respective databases, assisting with marketing visit preparation as required.
Organise travel and accommodation for visitors and personnel as required in accordance with the Travel and Expenses Policy.
Support visa applications for personnel and POACs as required.
Responsible for answering and directing incoming calls and messages to the appropriate persons/departments.
Distribute incoming correspondence and arrange couriers as required.
Completion and issuance of weekly / monthly reporting for various departments including weekly reports to Management and HSE stats as requested.
Production and issuance of minutes for meetings as requested, ensuring that actions are allocated to appropriate personnel and logged.
Continually drive improvements in our processes and systems.
Any other duties from time to time as may reasonably be required.

Monday – Friday 8:30- 17:00

28 days per year plus bank holidays
