Design Studio Ops Coordinator

Monday to Friday 8.45am til 5pm (or thereabouts)

£16ph – £21ph depending on experience (weekly pay)

We are looking for an enthusiastic, motivated, intuitive and well-organised team player to head up the day to day smooth running of the Design Studio based in Hackney, on behalf of my client, a large, well known retail brand

You will drive, implement and manage office systems and procedures, solve problems and prioritise amongst multiple tasks whilst supporting this extremely friendly and hard working, successful team.

The Role:

Partner with HR, Tech and other relevant teams to ensure proper on-boarding for new staff by orienting and helping to train new employees. Including but not limited to: building access, ensuring work space is set up, introductions, studio processes and procedures and reviewing and assisting employees with transition to the company.
Assistance may be needed at times to implement and monitor design process tools (calendars & tools) to enable maximum efficiency and product excellence.
Guide and actively support process and improvement within the Studio.
Strive to create and foster a strong environment of teamwork and support throughout the organisation.
Be the main day to day point of contact for studio team and contractors/vendors.
Work with key players to maintain studio services by organising studio operations and procedures. This includes being present for day-to-day queries, meeting and greeting, studio correspondence; filing; reviewing queries, processing invoices, shipping (inbound and outbound), setting up vendors etc, support with maintaining calendars, maintaining high degree of professionalism, properly screening visitors to ensure confidentiality of projects and monitoring building access
Maintain and manage studio efficiency and systems by planning and implementing studio operating best practices, storage, and equipment audits, as well as housekeeping of studio facilities.
Negotiate the purchase of office supplies, services, equipment, and machinery for the studio team in accordance with company purchasing policies and in line with budget guidance.Skills and Qualifications:

Bachelor's degree or equivalent experience required
Strong planning and organisational skills
Well-developed interpersonal and communication skills
Ability to work independently and across different teams
An interest in Design and Design Thinking
Working knowledge of design studio environments and processes
Computer literacy, specifically Microsoft Excel and Adobe, Keynote. Use of Airtable, Smartsheets, Asana and Miro may also be required day to day – training can be provided where needed.
Ability to negotiate effectively Training will be provided for internal systems
