My client is an award winning, Legal 500 ranked, full-service law firm offering legal advice to UK and international businesses as well as individuals and families. As a result of recent growth and re-structure they are seeking a committed and driven Front of House/Office Supervisor to join their expanding Office Services team, supporting the Office Manager with the provision of services and to serve as a positive front of house representative for the company.
The successful candidate will ensure the smooth running of the office and front of house areas in order to provide a first-class experience to all internal and external clients. This will include always leading the office services team by example and assisting with the supervision and maintenance of all office facilities.
Responsibilities
* Provide internal and external clients with an efficient and professional service to create a professional impression of the Firm at all times.
* Oversee the smooth running of client meeting spaces and ensure all facilities are set up and cleaned to an immaculate standard, ready for use, at all times.
* Organise the tasks completed, and services provided, by the Office Services team.
* Assist the Office Manager in line managing the Office Assistants and Reception Team to include supervisory tasks such as performance review, training and development, and performance management.
* Coordinate the procurement of office supplies and monitor and report to the Office Manager on expenditure.
* Obtain quotes and source suppliers and contractors as requested and submit procurement proposals which represent the best value and quality to the Office Manager.
* Manage the office cleaning contract and monitor the service provided.
* Liaise with contractors and building management on building issues and maintenance queries.
* Plan and implement desk moves and office changes (including liaison with IT and contractors) to ensure minimal to no disruption and availability of desks to staff when required.
* Deliver effective facilities management with minimal disruption to office-based staff and communicate planned maintenance/works to all staff.
* Carry out all employee Health & Safety responsibilities including fire drills in line with fire regulations/building management.
The ideal candidate will have relevant Front of House/Hospitality or Customer Service experience along with exemplary organisational skills and demonstrable commercial awareness. You should be able to demonstrate effective prioritisation of workload and time management skills. Previous experience of managing a small team w0uld be advantageous however candidate’s looking to step up to a team leadership role will also be considered.
