JOB PURPOSE:
A vacancy has arisen to join our team on a permanent basis, at our client’s prestigious offices. The successful candidate will be proactive and provide professional, customer focused day-to-day 'hands on’ Office Administration’ support of the office and the Workplace Office Manager in the areas of: service solutions (mail, reprographics, records management, stationery). Working closely with our approved partners in the operation and administration of day-to-day workplace services.
DUTIES AND RESPONSIBILITIES:
* To provide a professional, friendly, and helpful customer focused service to our clients each day
* Manage onsite and offsite records management
* Working with the mail team to sort and deliver courier and mail items received throughout the day
* Taking receipt of parcels from the courier drivers in the loading bay, maintaining an audit trail using our internal systems
* Reprographics services including printing, laminating, wire binding and scanning
* Working to deadlines, ensuring jobs are complete within requested or agreed time frames
* Stock management, housekeeping of work areas and ordering paper, Xerox consumables and stationery
* Filling cupboards with stationery and photocopier paper, loading paper and toner into photocopier
* Supporting MFD 1st and 2nd line fixes and requesting engineer call outs
* Daily administration and proactive management of procedures including managing email inbox, document handling, data classification, client access to restricted areas, CD burning to maintain compliance with ISO 27001 accreditation (Information security standard)
* Ensure you follow QHSE policies and procedures for safe working environment and safe use of equipment

* Computer literate intermediate level
* Hands-on approach and the ability to undertake and manage several tasks simultaneously
* Adaptable and flexible approach to changing working procedures and deadlines
* Confidence in communicating with clients, colleagues and visitors at all levels within the business
* Excellent communication and team working skills
* Able to work well on their own, prioritising tasks in a proactive manner
* Demonstrates enthusiasm in supporting clients and colleagues across the team and at all levels
Knowledge:
* Confident and able to carry out attentive use of multiple systems and software throughout the working day to fulfil job responsibilities
Previous experience:
* Manual handling experience
