The position: Fleet Administrator – Permanent – Chilwell Area – £22000 – £24500
Our client now has an exciting opportunity for a Fleet Administrator to join their team. This role will be responsible for ensuring all daily fleet tasks are completed accurately and promptly, reporting into the CFO.
Key responsibilities:
Your day-to-day duties will include:
• Maintaining accurate records of all maintenance, inspections, defects, and repairs carried out to the fleet, the majority is through the leasing companies.
• Ensuring all legal and compliance documentation is filed and retained for audit purposes
• Managing the fuel cards for the company, this includes Fuel Monitoring and Price Comparison, and the installation of vehicle trackers / TomTom devises and reporting.
• Overseeing Company Car Policy, including purchase, order and liaising with HR on P11D and P46 details, ensuring vehicles specs are in line with policy/ requirements etc.
• Negotiating with vehicle manufactures and leasing companies the best discount, terms etc.
• Setting up a Fleet Maintenance System, CRM system: including raising of purchase orders and order fulfilment.
• Help in preparing the companies Insurance renewal for the whole company, and manage any insurance claims etc
• Manage Specifications of Vehicles/Racking/ Ordering and Fitting of Decals/ Delivery to sites
• Manage suppliers for fitting of Tyres and Windscreen Replacement
• Vehicle Damage & repairs (if not claimed under insurance) before returning to Lease companies
• Manage Mileage Limits on Leased Vehicles
• Managing Pool Cars (Including fitting of Abax Trackers) and minimising #
• Manage Daily Rental orders as and when required and minimising # in circulation.
• Management of Tags/ Free air Zones, Humber Bridge & tunnels etc charges.
The ideal candidate will be able to demonstrate:
• Sole responsible of a vehicle fleet of 100+ cars/ 280+ vans.
• A keen interest in fleet and the desire to develop skills in this business area.
• Excellent planning, organisational and time management skills.
• Must recognize the importance of working as part of a team to deliver service and operational performance within a safe working environment.
• Strong IT skills including Microsoft Word, Excel, and PowerPoint.
• Management of company Insurance and reporting of claims/ cover.
• Positive approach to understanding the role and wider business
• Some practical experience and knowledge of cars/ vans would be of benefit.
• Experience in FORS would be of benefit but not essential.
