Our client, an innovative group of companies located near Daventry has an exciting role for a*** Facilities and Admin Manager *** to join their team.
Responsibilities for the Facilities and Admin Manager job role include:
Administration Support for the Facilities and Admin Manager vacancy:
To provide Administration support to the management team, including diary management.
Manage office supplies and purchase items required by the team.
Arrange travel arrangements for the team and management when required.
Arrange and action courier and despatch plans when required.
Arrange, action and distribute itineraries for trips when required.
Team meetings/customer meetings.
Keep records of NDA contracts and Confidentiality Agreements.
Plan and organise social events when required.
Recruitment – Organise the recruitment including annual intern placements with managing the CV database, plan interviews and notify applicants.
Support preparation of meeting slides for board meetings.
Operations and Facilities Support for the Facilities and Admin Manager job role:
Support the team with grant applications and funding etc.
Maintain Finance records for clients, i.e. creating invoices, Pro-Formas, Purchase orders.
Manage general Building and Facility management.
Support in drafting office leases.
Main point of contact for all tenants.
Issuing of fobs, keys, car passes / all day-to-day issues and questions on site.
Negotiating site electricity contracts.
Managing of Alarm.
Main contractor liaison for site.
Manage Business Rates and Enterprise Zone Relief for site and all group companies based on site.
Compliance Admin and Finance Support for the Facilities and Admin Manager vacancy:
Work within, contribute to and help develop our customer’s Quality System, policies, best practices and procedures.
To help our clients meet it Quality Objectives as defined in the Quality Policy.
Record and maintain updated all Company Health and Safety Policies.
Manage and review all utility expenditure and negotiate with providers.
Conduct weekly and monthly Fire Health and Safety records.
Conduct new starter inductions and Health and Safety.
Manage day to day finances for multiple brands within the group.
Manage general H&S / Risk Assessments for facility.

Able to carry out tasks effectively and to a deadline.
Able to voice opinions and give recommendations to improve current processes.
Effective team player
Ability to carry out a range of tasks, plan and prioritise.
To maintain a high level of attention to detail
Ideally some finance experience, using XERO.
Additional Individual Responsibilities:
To be involved in general maintenance and upkeep of the building.
Provide support to the Site Manager and team when required. i.e cleaning, manual handling of equipment.
To be available to support any tasks that you may be needed for within the business.
To provide support to all tenants when required.
Our client is offering full time working hours of 40 hours a week (on-site) with a salary up to/in the region of £28,000 per annum
