Salary : £21000/annum

My client is a provider of manned security services. Their core services include, Key Holding, Alarm Response, Lock and Unlocks, Mobile Patrols, Vacant Property Inspections, Manned Guarding, Site Security, Retail security, Concierge Security, Door Supervision and Event Security for a diverse client base. Based at the company’s Birmingham HQ the purpose of the role is to be responsible for coordinating of events bookings. Liaising with all customers to establish final details to be shared to all relevant departments. Proactively upselling the facilities and always aiming to meet customer needs and exceed customer expectations. Attend operational meetings to ensure all details and requirements are handed over accurately to all departments. To support the on-going recruitment of staffing as required. To be responsible for post event calls and customer feedback. To carry out administration duties as required. Consistently ensure the highest standards of accurate and timely customer, staff and management information.

KEY TASKS AND RESPONSIBILITIES

* Conducting reactive activities including responding to telephone and e-mail enquiries for initial to final details for events

* To work closely with the client on any specific requirements and manage the events diary

* Following up on post-event calls within a specific time scale to optimise repeat business

* To conduct staff check-in as required, to the standards set by the company

* To organise event recruitment Open Days to ensure staffing levels throughout the year

* To ensure all new starter details are recorded correctly as per company standards

* To ensure payroll/hours are correct for processing ensuring deadlines are adhered too

* To communicate in a timely manner to all staff booked on events

* To record any staffing issues or concerns to senior management

* To ensure all details and requirements of confirmed bookings are handed over accurately

* Proactive calls focusing on past bookers, lost bookings to generate confirmed bookings in the diary

* Opportunity to attend any showcase events, as required to promote the company brand

* Support in the marketing of the company as required and to act in a professional manner at all times

* Always responding positively and efficiently to customers, ensuring repeat business is optimized

* To support unit with administration duties as and when required, ensuring deadlines are met and to perform ad hoc tasks as directed by GM/EM or MD

* Main point of contact for Events with involvement of operational delivery of event (s)

BACKGROUND

Personal circumstances must allow the candidate to work extended unsocial hours on occasion during times of peak season activity i.e staff check-in

Must be able to work on own initiative and within a team environment and be a confident decision maker

Will have a generally outgoing personality and enjoy social interaction

Must be able to communicate effectively with potential customers, with employees from all parts of the company and able to present a highly professional image when representing the Company

Must be self-motivated and can maintain focus in the achievement of targets

Will demonstrate a thorough approach to work

Must be able to organise themselves and others effectively to meet deadlines

Must be competent in Microsoft Office and have a good understanding of database management

Must have excellent communication skills, verbally both on the phone and in person, and written

Will be an effective team player

Will have extensive event planning experience within events/security industry

Will be experienced in achieving KPI’s

It would be desirable if candidates have experience of Timegate, interfacing with client and operations teams and operrational events experience
