A new Procurement Administrator job is available in Soho, London. The successful candidate will work alongside the design and construction teams, managing procurement, logistics and invoicing for F&B projects in the UK, Europe and Dubai. Salary of £32,000 – £36,000 DOE and the opportunity to WFH 1 day a week.

Now entering a growth phase with expansion plans into both existing locations and new continents, our client is looking for a detail-driven and strong analytical thinker to join their team of 15 on a permanent basis. The Procurement Administrator will support the FF&E and construction teams, managing orders, invoicing, logistics and international shipping. This is a busy role which will suit somebody who is hard-working, diligent and good with numbers and people!

Role & Responsibilities

– Processing all FF&E and construction orders and invoicing, working closely with suppliers as well as design, construction and finance teams
– Organising all shipping and logistics in the UK, Europe and overseas
– Creating all specific documents and import/export procedures including the organisation of project storage where appropriate
– Researching local import particulars outside of the UK
– Liaising with contractors and the design team to organise FF&E installations, resolving any outstanding snagging or delivery issues
– Building and accurately maintaining all schedules, budgets and timelines optimising the supply chain
– Organising project cash flow and payment runs with the accounting teams
– Reconciling all spending with QS cost reports and the finance team
– Closing project accounts and reconciling VAT invoices
– Supporting the design team in setting up supplier trade accounts
– Sourcing FF&E/construction requirements, working closely with designers and suppliers (fully admin related, not creative work)
– Saving and recording all certifications including any relevant CE or FR documents
– Maintaining the supplier and contact list
– Maintaining the office and UK storage facility, keeping it tidy and recording/updating the inventory.

Required Skills & Experience

– 3+ years of experience in either procurement, finance or logistics, preferably in the interior design industry
– Good knowledge of FF&E materials, quantities, and suppliers
– Outstanding knowledge of procurement & logistics processes and costs
– Proven experience working on international deliveries and installations
– Experience working with shipments, customs and projects in Dubai would be highly beneficial
– Detail-driven and strong analytical thinking
– Pragmatic with good problem-solving skills
– Excellent communication and negotiation skills
– Proficiency in multiple languages would be beneficial but not essential
– Good initiative as well as an ability to follow instructions
– Must be willing to travel nationally and internationally
– Highly proficient in Excel, Microsoft Office Packages and Google Documents
– A basic level of Adobe Photoshop & InDesign (desirable).
