Our local authority is looking for an Admin Assistant to join them on a temporary basis.

Location – B91 3PX

Pay Rate – £11.81ph

Part time working 20 hours a week – these can be covered over 3/4 days if needed

Preferably one day in the office per week

Job purpose:

To provide a comprehensive and high quality clerical and administrative support to the Councils Equality & Diversity Team and the wider HR Division as determined by the Head of Equality and Diversity or the Head of Human Resources.

Main Duties:

* Being the first point of contact on general enquiries and requests by telephone, email, in person.This will include coordinating and prioritising enquiries.

* Proven clerical and administration experience as well as good communication, reading writing and typing skills for producing or typing letters, articles for newsletters, reports etc, Filing both electronic and paper systems, making or receiving calls.

* Develop and maintain effective administration systems, set up and maintain EDI records ensuring they meet governance requirements.

* Undertake duties such as diary and meetings managements, organising meetings or events, ensuring that information and actions are circulated, recorded clearly and accurately, timely preparation and circulation of agendas and papers.

* Maintain accurate records and information systems, preparing presentations, documents, publicity materials, updating intranet and internet pages. Liaising with various stakeholders. Providing support with the preparation of statutory and annual reports.

* Proof read papers, minutes, reports or articles, to ensure these meet agreed standards of English.

* Create, update and manage information on a variety of different data systems and processes. This will include excellent IT skills including the use of Microsoft Excel and analysis and creating reports

* Collating and inputting service data onto spreadsheets and data bases.

* Have proven experience in using and translating data management information

* Assisting the Team with management and stakeholder liaison meetings, by arranging and planning meetings including displays, powerpoints, room/venue bookings and attending to participate and record meeting outcomes.

* Providing assistance to the Team in developing new systems and processes.

* Assisting with financial monitoring by creating, populating and updating spreadsheets and databases with information across the E&D and HR Division

* Research and benchmarking of EDI or Human Resources data or practice.

* Work proactively with colleagues across HR Division to ensure an integrated approach to EDI related work.

* Accurately produce reports, correspondence, and manuals from a variety of sources including material from consultation feedback, audio or manuscripts within agreed timescales.

* To actively contribute to working groups and project teams as appropriate.

* Undertake any other duties to which the postholder may be assigned and that are commensurate with the grade of the post .

You must be able to work independently and on their own initiative

Needs knowledge of Excel/Microsoft office
