What you’ll do
• To be responsible for the day-to-day administration of the Support Services department (SSD)
• To ensure all administration processes are adhered to
• General office duties – answer incoming calls, photocopying, sending emails, filing, etc
• Manage on-line and paper filing systems to ensure they are up to date and in line with Data Protection requirements.
• Assist in the training of any New Starters as required
• Plan and maintain the scheduling plan spreadsheet for the Region you are responsible.
• Resource control of the Engineers’ scheduled work on a regular basis, as far ahead as possible (currently six-months) in order to assist Management team with future resource/people planning
• Responding to requests for call outs, assessing priority and arranging for an engineer to visit.
• Organising installation & scheduled water hygiene works, liaising with equipment production, chemical production, SSD and sales representative/account manager regarding availability, delivery etc
• Ensuring correct RAMS are sent to Site contact in advance
• Checking/generating monthly job sheets for any scheduled work before being issued to engineers
• Signing off completed jobs/updating Lotus Notes with information for C4/C5 works
• L8 reports sent to customer
• Ensuring all aspects of photo reports are correct and arranging copies to be sent to responsible consultant initially then to site contacts
• Maintain full UK SSD schedule during periods of holiday/absence
• Raising purchase orders for equipment/specialist kit hire, and authorising payment of invoices.
• Co-ordinate DBS and Security Clearance applications for SSD Engineers in your allocated region.
• Raising Purchase orders to sub-contractors as and when required
• Providing orders along with job sheets and any other necessary paperwork as required to ensure that sub contractor compliance is achieved
