Job overview
The main purposes of this role are to provide procurement support to the Hospice’s Facilities Team, ensuring purchases meet agreed specifications and offer value for money, managing the Hospice’s ongoing actions to reduce its carbon emissions, and including reporting and day-to-day management of energy suppliers. The role-holder will also undertake various other administrative tasks.
Main duties of the job
* Actively seek out suppliers with good environmental accreditations and utilise these suppliers wherever possible
* Publish spend reports for the Facilities Team to allow supply contracts to be set-up, amended or cancelled
* Write quote requests and short specifications, sending out to the appropriate suppliers and managing the returning proposals

Detailed job description and main responsibilities
* Provide excellent customer service to both internal and external customers and suppliers, building good working relationships
* Raise purchase orders (POs) for multiple departments
* Be responsible for providing the submissions for public facing statements e.g., the annual statement of accounts and government reporting such as ESOS
* Research suitable initiatives to further reduce emissions and work with hospice colleagues to successfully adopt them
* Provide equipment lists and other inputs to contract schedules to support contract owners
* Chair a regular meeting with contract owners to ensure renewals and cancellations are managed in a timely way
* Manage stock levels for consumable items such as PPE
* Undertake administrative actions on the Service Desk Plus Facilities Management database, ensuring asset information and routine maintenance activities are correctly established
* Foster a ‘can do’ culture by actively seeking solutions to problems
* Be responsible for conforming to the policies and procedures as set out in the staff handbook, including health & safety requirements, and attending courses as directed
* Identify own ongoing educational needs and discuss with the Line Manager to achieve those development needs
* Promote the philosophy of hospice and palliative care through demonstration of the mission and values
