Job Description:

We are seeking a proactive and detail-oriented Procurement Administrator to join our team. The Procurement Administrator will be responsible for overseeing the procurement process, managing supplier relationships, and ensuring timely delivery of goods and services. This role requires strong organizational skills, attention to detail, and the ability to effectively communicate and collaborate with internal stakeholders and external vendors.

Responsibilities:

1. Manage the end-to-end procurement process, including sourcing, purchasing, and contract negotiation.

2. Identify potential suppliers, conduct supplier evaluations, and negotiate pricing and terms.

3. Maintain accurate records of procurement activities, including purchase orders, contracts, and supplier agreements.

4. Coordinate with internal departments to assess procurement needs and develop procurement plans and strategies.

5. Monitor inventory levels and reorder points to ensure adequate stock of materials and supplies.

6. Review and analyze procurement data to identify cost-saving opportunities and improve procurement efficiency.

7. Collaborate with finance and accounting departments to reconcile invoices and resolve billing discrepancies.

8. Develop and maintain relationships with key suppliers and vendors to ensure quality and timely delivery of goods and services.

9. Stay informed about industry trends and best practices in procurement and supply chain management.

10. Assist with other administrative tasks and projects as needed.

Requirements:

1. Proven experience as a Procurement Administrator or similar role, preferably in the facilities maintenance industry.

2. Strong understanding of procurement processes, including sourcing, purchasing, and supplier management.

3. Excellent negotiation and communication skills, both written and verbal.

4. Proficiency in Microsoft Office suite and procurement software.

5. Detail-oriented with a high level of accuracy in work.

6. Ability to prioritize tasks and manage multiple deadlines effectively.

7. Strong analytical and problem-solving skills.

8. Ability to work independently and collaboratively in a fast-paced environment.

9. Willingness to adapt to changing priorities and embrace continuous improvement.
