3 months contract with London Borough of Lambeth Council

Job Summary:

To provide guidance and feedback to enquiries and build close working relationships with clients from a range of different backgrounds including community groups, charities and commercial organisations.
To effectively manage clients to ensure service sales income targets, outcomes and standards are maintained at all times.
To facilitate, organise and deliver a range of events activity across the year, including events in parks, open spaces and highways.
A good working knowledge and project management approach to event delivery, advising and negotiating with stakeholders, partners, internal and external agencies and other services within the authority.
Regular work onsite and offsite in parks, open spaces & highways is required during evenings and weekends and on call as required.
Sample of the Key Duties/Accountabilities:

Meet with prospective and existing clients face to face and provide proposals, advice and guidance on the complete event application process.
Undertake site visits with prospective clients, councillors and community stakeholders; and organise contractors and internal stakeholders to carry out pre-event work.
Take operational delivery lead for events and working with the Senior Events Officer and Event Services Manager on large and major commercial events programming.
Agree and implement relevant fees. Prepare and review client quotes and invoices.
Work with the Event Services Manager to identify potential commercial sales opportunities within parks, open spaces and highways.
Identify areas of potential growth and gaps in current programming to bring a wide range of events to the borough with minimal risk to the council.
To maintain awareness of marketing options and pursue the research for approval and carry out the development as tasked.
Undertake the auditing of parks and green spaces.
Ensure event producers comply with the Green Events Guide.
Be responsible for the entire events hire process from initial enquiry to close.
Continually assess the event application process, working with the team to consider ways of continuing to develop the process to ensure it works for all users.
Ensure that all relevant contracts, and their terms and conditions are rigorously enforced at all times.
Adhere to the events strategy and policy and ensure all clients are aware of the principal codes of practice and guidelines.
Act as the lead officer onsite managing contractors and internal colleagues during live events, as well as liaising with key external stakeholders and taking lead on key decisions for the Council.
Work with external suppliers and contractors to ensure the team and authority can achieve value for money and positively impact on outcomes.
Act as main council point of contact for members of the public during an event.
Essential Experience Required:

Knowledge of the legal and professional requirements and processes for the management of events and venue hire.
Extensive knowledge of the direct operational management of events and venue hire.
Substantial experience of facilitating events, preferably in a public sector context.
Additional information to note:

A willingness to work occasional evenings and weekends, for which TOIL or overtime will be granted.
Responsible to the Senior Events Officer.
Long-term sickness cover.
