The ideal candidate will be PC literate, hold excellent communication skills both on the telephone and face to face.
They will possess a passion for helping people and be pro-active and able to work well by themselves as well as part of a team.
This is a busy role, with deadlines to manage and competing priorities, so you will be required to work quickly, accurately and efficiently and remain calm under pressure. You will be able to priorities effectively and be hard working and have a methodical approach. You will be self motivated in order to thrive in a small but busy company environment where everyone wears many hats.
Responsibilities:
* Become the first level of interaction for customer over the telephone.
* Progress and chase orders with suppliers
* To make bookings and appointments
* Total management of Jobs from instruction to scheduling to Invoicing
* Communicate with Clients, Engineers, Suppliers etc
* Managing day to day job schedule calendar
* Liaising with Engineers continuously, in respect of their daily jobs
* To deal with complaints and when necessary report these to the manager
* Maintaining an efficient office environment including a clear desk policy
* Handle customer service and maintenance calls
* Co-ordinate the service and maintenance call-out in conjunction with the PM/service engineer
* Create job handover packs
* Arrange invoicing of service and maintenance contracts and scheduling services
Core Skills
* Good interpersonal and communication skills, both written and verbal
* Well organised and able to prioritise workflow
* Must be IT literate and able to use MS Office to a good level
* Accurate word and data processing skills
* A friendly and professional manner
* Strong customer service skills
* Conscientious in the role
* Understanding Customer requirements
* Friendly, honest and approachable work ethic
* A team player who can make decisions and work alone when needed
* The ability to gather and relay technical information
Essential Requirements:
Conscientious in the role
Excellent written and verbal skills
Attention to detail in a fast paced environment
Good team player willing to help wherever required
A 'can do' attitude with the ability to learn new concepts
At least 5 years Administration experience
IT literate- ability to use word to a high standard is essential
Numerical skills – experience of working with basic finance
Excellent command of written and oral English
Excellence in terms of maintaining confidentiality
A professional manner and excellent customer service skills
A full clean driving license
