We are seeking an experienced Receptionist, or Administrator who enjoys being the face and voice of a company, executing their daily tasks to a high professional standard and creating a great first impression of the company for all visitors.
This Receptionist / Administration Support role is a full-time, permanent position working from 8:30am – 5:00pm Monday to Thursday, 8:30am – 2:30pm each Friday and is based in Thetford, Norfolk. Offering a salary of £20,000 per annum.
The Company / Team
Our client is a well-established manufacturing company who design, manufacture, and install equipment for the building services market. They are a friendly company with good staff retention rates and around 130 members of staff based across two sites in Thetford.
The Job
Working on the front desk of the company’s main building, you’ll be the first person people meet when visiting the company and the first person callers will speak to. You’ll be the only Receptionist on the front desk, so we require an experienced, confident front-of-house/receptionist who enjoys this type of role.
As the company begin to receive more visitors and contractors with COVID restrictions easing, the role will become busier as you’ll be responsible for co-ordinating and directing any visitors coming to see the other factory site nearby.
Although the role focuses on reception work such as taking all calls, directing these, taking messages, booking in visitors, and making them feel welcome etc. It’ll also involve some administrative work, assisting the customer service team in their duties on an ad hoc basis.
Duties
* Opening up the reception area for 8:30am promptly every morning and closing it up at the end of each day; ensuring the phones are on night setting and the entrance doors are closed
* Answering, screening, and forwarding incoming calls as well as taking messages when required. Doing so in a professional, timely and accurate manner
* Welcoming visitors to the front desk; greeting, signing them in, directing and announcing them appropriately
* Keep the Reception area tidy and presentable, with the necessary materials supplied (hand sanitizer, pens, forms and brochures etc.)
* Manage incoming and outgoing company post; sorting through incoming post and distributing appropriately, as well as arranging outward post in readiness for collection at the end of each day. Taking receipt of deliveries and informing the recipient of the arrival of their parcel(s)
* Keeping abreast of the diaries and itineraries of key company personnel to locate them as necessary
* Maintain office security by following safety procedures (and COVID procedures) and controlling access via the reception desk (i.e., monitoring the logbook and issuing visitor’s passes)
* Fire marshall duties
* Arranging lunches/refreshments for in-house events/visitor meetings as requested
* Arranging travel and accommodation as requested
* Ordering of consumables such as tea, coffee, milk, biscuits, stationery and cleaning products
* Administrative assistance including customer services, export documentation for customer sales to overseas customers, health and safety and accounts
Requirements
This Receptionist’s position does require a capable individual who has worked in a similar position before. You’ll enjoy multi-tasking and be able to cope when busy and under pressure but equally be at ease in quieter moments.
Strong people and administrative skills are key, as is a professional, friendly, and clear telephone manner. We’re seeking somebody who enjoys working in a front-of-house position and will take pride in maintaining the reception area to a high standard.

* Good administrative capabilities – correct spelling and grammar with a highly accurate attention to detail

Salary & Hours
This is a permanent, employed opportunity working full-time hours (Monday to Thursday 8:30 – 17:00 & 8:30 – 14:15 each Friday offering a salary of £20,000 per annum.
