SCC MPDS is the dedicated Managed Print & Document Services division of SCC , the leading IT services organisation in Europe. We now have a opportunity for a talented individual to join our operation as a Legal Print Room Manager.
Overview
The Legal Print Room Manager will fulfil a critical interface between the client and the SCC-DS. This individual will be charged with the twin goals of managing the client interface with the client’s lawyers and Resource Managers, as well as the supplier interface in terms of allocating work to the most appropriate production facility and overseeing its timely return to the originator.
The role will involve a balance of consultation – providing advice and guidance to the Client – as well as supervisory and reporting responsibilities, along with direct document production/reproduction work such as may be required onsite to meet low volume / urgent turnaround demands.
The role will also be pivotal in supporting the client’s strategy of becoming less reliant on traditional paper-based methods of document production, with the introduction of litigation support technologies to enhance the management of case information.
As such, it is envisaged that the successful candidate will demonstrate competency in and enthusiasm for both traditional Print/Repro work, have strong customer service skills and an understanding of current and emerging document workflow technologies and their use.
Level Responsibilities
Liaise with all internal customers, departments and end-users on print content and structure and ensure that the print requirements are fully understood prior to production method selection and job allocation
Administer on-site and off-site print arrangements in the most cost effective manner, achieving optimum balance between on-site and off-site work according to operating principles agreed with Client and underpinned by the prevailing SLA
Administer the Print Room workflow to ensure that client requirements which are more suited for digital processing are identified in a prompt manner and managed accordingly
Develop a close working relationship with the customer senior management team and other relevant stakeholders
Procure or print a variety of documents as required by internal users in the day to day running of the company’s business, having due regard for the relative urgency and appropriate production/distribution media for each job
Oversee and/or undertake the packaging and timely delivery of documents and items to the relevant destination(s) as agreed at the beginning of each job requisition
Resolve queries and act as the key contact for technical issues and customer enquiries relating to reprographics and document management.
Undertaking other duties as appropriate to the level of this post as may be required from time to time and such as may be agreed between the job-holder and the Client
Administer a management information system such that originators can track the progress of their jobs across the entirety of the production process, and produce monthly reports as required according to the agreed SLA
A proactive working relationship with the client in respect of processes, procedures, technologies and services offer by the Reprographics team
Develop a close working relationship with the client’s IT department
A "subject matter expert" on the various software and technology solutions in place to deliver the published Reprographics services e.g. OCR, CD copying/labelling, etc
Responsibilities
Oversee strategy and execution for rapid processing of all incoming and outgoing physical media deliveries
Ensure proper capacity, resources & equipment to handle high volumes of incoming and outgoing data
Ensure proper protocols are developed, documented, and followed to ensure data integrity and Chain of Custody
Provide consultation to lawyers and secretaries on collections best practices and/or collections issues
Manage media and electronic storage, systematic cleanup, and monthly volume reporting for purposes of billing
Administer all work through the associated administration system and ensure all work charged as appropriate to relevant client matter codes
Based on consultation/agreement with the their internal client, the production of digital files from hard copy documents using solution such as OCR

Maintain filing system
Coordinate and distribute periodic reports
Assist with file searches in designated offices and facilities of the company
Collate documents and compile information for the use by legal departments
Respond quickly to ad hoc reporting requests from senior members of the legal department
Production
Manage the delivery of the on-site document and data support function
Process reprographics work through the managed service contract according to the prevailing SLA
Provide advice and guidance to users in respect of most appropriate means by which to achieve the desired objective for the document(s) in question – including timescales, media selection and finishing options – thereafter selecting optimum production and distribution model by which to meet user needs
Produce onsite printing, photocopying and basic finishing as required from time to time, to meet urgent or low volume reprographics requirements
Manage the service internally and ensure highest standards of customer relationship management are maintained at all times
Quality checking all Repro production before items are returned to internal clients
Produce monthly reporting suite by agreement with the Client’s contractual expectations
Oversee use of cost recovery and time recording practices by all members of the Document Management Service team
Implement and improve operational procedures relating to the ongoing delivery of high quality Document Management Services to the Client
Establish and maintain clear channels of communication with lawyers and secretaries
Develop and maintain awareness of new and emerging technologies and tools and act as centre of expertise within the Client environment in such matters
Experience
It is anticipated that the successful candidate will exhibit a minimum of two years’ hands-on experience in Reprographics role servicing the legal sector. It is important that the candidate has demonstrable prior experience of basic reprographics and finishing technologies and processes. It is also important that the candidate has experience working as an on-site representative for a reprographic / mail services provider within the legal sector.
Additionally, it will be advantageous for the candidate to be able to demonstrate an understanding of collections or Litigation Support software and relevant litigation document management systems.
Service orientated, with excellent problem solving abilities and strong verbal and written communication skills, the individual will be comfortable working to strict deadlines in a legal environment and will have shown the ability to interact with all levels of staff in that same environment.
A consultative yet assertive disposition will be necessary in order to strike the right balance between achieving client satisfaction and the provision of relevant advice and guidance to senior legal professionals based on strong personal domain knowledge
