Salary : £30000 – £40000/annum

 

A growing accountancy practice is looking to recruit a proactive and organised Personal Assistant to support one of the Directors with his busy workload, predominantly across his portfolio of clients.

The Director has built an impressive portfolio of clients over his lifetime with the practice and needs a methodical and organised assistant who can manage a high volume of enquiries, responding quickly and efficiently whilst maintaining a warm and personable manner, so as to build and nurture these relationships.

This is a fast paced and demanding position with a lot of interaction, both supporting the Director and acting as a client liaison.

Responsibilities include, but are not limited to:

* Acting as the right-hand person to the Director, building a close relationship and being the main point of contact for him

* Liaising with clients on the Director’s behalf, responding to queries and flagging queries for review

* Sending out reminders to clients, collating and requesting information and following up on actions

* Researches and prioritises incoming issues and concerns, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.

* Time management, including the proactive and effective scheduling of meetings and zoom calls both internally and externally

* Daily updating of ‘to do’ list, prioritising workload and queries accordingly

* Understanding the importance of upcoming critical deadlines, (weekly, quarterly and annually) taking responsibility for documents and relaying information in relation to deadlines and follow ups.

* A broad variety of administrative tasks including uploading documents onto the document management system, sending letters, amending templates, requesting document approvals, financial administration, proof-reading documents, creating/updating PowerPoint presentations and updating documents and agreements

* Sending out emails via distribution lists and mail merges

* Administration in regard to onboarding new clients, such as introductory packs

* Provide a bridge for smooth communication between staff; demonstrating credibility, trust and support.

PERSON SPECIFICATION

The ideal candidate will have experience within an accountancy practice or similar financial institution and have solid experience liaising and interacting with clients.

* Experience managing a high volume of workload and enjoy the challenges and variety that this role has to offer.

* You will be a highly organised individual. You are able to prioritise your own workload, using your own initiative to meet required deadlines.

* You understand the importance of confidentiality and display discretion at all times.

* You have a good sense of humour and an approachable and friendly manner and enjoy maintaining a positive working environment.

* You have a “hands on attitude” and enjoy getting involved and have an unflappable manner

* You will have the ability to manage multiple objectives and have a flexible approach to both the type of work undertaken and working hours as required.

* Good IT skills in MS Office, Outlook, Word, PowerPoint & Excel

* Company Secretarial experience in relation to shareholders, appointing directors and companies house is advantageous but not essential
