LV Recruitment is recruiting for a PA to support a dynamic and busy development team for one of the Oxford Colleges. This is a rare opportunity to become a pivotal part of the team and help with a variety of tasks. The role will be split into three areas: supporting the Development Director with executive duties, working as an administrator for the team and coordinating activities for the department.
The three main areas for support are as follows:
Provide executive support to the Development Director
* Coordinate diary appointments, correspondence, video and telephone calls with high level external contacts, including via their support staff.
* Organise domestic and international travel, including arranging visas, travel tickets, accommodation, and itineraries.
* Offer full meeting support, including anticipating and preparing briefings for external meetings, coordinating timely follow-up actions, and maintaining accurate records on the office’s CRM database.
Act as lead administrator and receptionist for the Development Office
* Arrange meeting rooms and hospitality for external guests as planned by all team members, and greet unannounced visitors in person.
* Manage the office’s general email inbox and receive telephone enquiries, responding to frequent enquiries personally, such as processing event registrations or updating contact details, and directing more complex requests to relevant team members.
* Administer invoice and expense approvals in accordance with the College’s processes, and oversee shared resources e.g., stationery and merchandise procurement needs.
Co-ordinate the College’s donor relations activities
* Acknowledge new donations, working from daily gift reports and by personalising messages of thanks and appreciation provided by colleagues.
* Send annual donation reminders to loyal donors, working from monthly reminder lists and by adapting model messages provided by colleagues.

Your experience:
The ideal candidate for this role will be someone who has excellent attention to detail and is organised and focused on representing the team to the highest level.
As this is an external facing department and the role requires reaching out to people, so it is imperative that you have excellent customer service skills and enjoy ensuring guests feel welcome and respected either in person, over the phone or via email. There are elements of project coordinating, PA & customer service in this role and the team all work together to ensure targets are met as this is pivotal for the success of the college. You will love seeing the tangible results your contribution has made.
To be considered for the role, you will need to have PA/EA/admin experience and be able to work fast & accurately.
This is a full time and permanent position based in Oxford City Centre. There is no parking available onsite. Working hours of Monday to Friday 9.00am to 5.30pm with a 1-hour lunch break. Hybrid working of 1-2 days remote working is available. Salary is up to £33,966.
