POSITION: PA (Personal Assistant)
SALARY: £14 – 15ph
WORKING HOURS: 20 Per week
We are currently working alongside an established catering and events company who are now looking to appoint Personal assistant to provide personalised secretarial and administrative support in a well organised, and timely manner.
Within this role you will work independently on a variety of tasks, related to the directors working life, as well as supporting the directors on administrative tasks relating to the home
The directors are very hands on with all aspects of their multiple businesses, so support managing the day to day running and organising of their home and work life is key.
ROLE AND RESPONSIBILITIES BUSINESS RELATED
* ACTING AS THE POINT OF CONTACT BETWEEN THE DIRECTOR AND EXTERNAL CLIENTS & INTERNAL TEAM MEMBERS.

PRODUCE TYPED DOCUMENTS TO A HIGH STANDARD OF PRESENTATION AND ACCURACY, EITHER FROM AUDIO, DICTATION, MANUSCRIPT OR SECRETARIAT DUTIES.
*
EFFICIENT MANAGEMENT OF IT DIRECTORS MAILBOXES; ENSURE THAT URGENT CORRESPONDENCE IS ESCALATED PROMPTLY AND REPLY TO ROUTINE/STRAIGHTFORWARD CORRESPONDENCE.
*
SCREENING AND DIRECTING PHONE CALLS AND DISTRIBUTE CORRESPONDENCE
*
PROVIDE ADMINISTRATIVE SUPPORT SO THAT PAPERWORK AND REPORTS ARE ACCURATE, COMPLETE AND
ACCESSIBLE. ENSURE ALL FILING IS MAINTAINED EXPEDIENTLY AND EFFICIENTLY.
*
HANDLING REQUESTS AND QUERIES APPROPRIATELY
*
DIARY MANAGEMENT – MANAGE CONFLICTING DEMANDS, RECOGNISE THE IMPORTANCE AND RELEVANCE OF
MEETINGS AND PRIORITISE ACCORDINGLY. ENSURE THAT DIARIES ARE ALWAYS UP TO DATE AND CHECKED REGULARLY

ASSIST IN MAKING ARRANGEMENTS, WITH EXTERNAL AND INTERNAL CONTACTS, FOR MEETINGS AND OTHER
ENGAGEMENTS, ARRANGING TRAVEL TO ENSURE THAT THE MANAGERS' TIME IS MANAGED EFFICIENTLY. TO INCLUDE
PROVIDING MEETING PACKS WHERE APPROPRIATE/REQUIRED.

TAKE DICTATION AND MINUTES
*
ASSIST WITH GENERAL ADMINISTRATIVE DUTIES WHEN REQUIRED
*
SOURCE OFFICE SUPPLIES
– COLLATING TOGETHER REPORTS FROM VARIOUS INPUTS, ARRANGING KEY MEETING AGENDAS AND MINUTES, FOLLOW-UP ON OPEN ACTIONS WHERE NECESSARY PRE/POST-MEETINGS
PERSONAL ADMIN

DIARY MANAGEMENT (FAMILY ENGAGEMENTS, CHILDCARE ARRANGEMENT ETC)
*
HOME ADMIN – PAPERWORK, BILLING, PURCHASING ETC.
*
MANAGE TRAVEL PLANS
*
SOURCE HOUSE SUPPLIES* (PRODUCT PURCHASING)
*
ARRANGING MAINTENANCE SUPPORT FOR THE HOME (I.E. CALLING OUT ELECTRICIAN ETC
ATTRIBUTES REQUIRED
*
Good GCSE and A-level (or equivalent) results
*
Minute-taking skills
*
Excellent telephone and email manner
*
Experience of Microsoft Office packages (to include intermediate/advanced Word, Excel and
Powerpoint)
*
Experience working with senior management level is essential. Within financial or professional
services is of an advantage
*
Approachable, self motivated and must be able to work autonomously and as part of a small
team
*
Good attention to detail
*
A flexible approach to duties and timekeeping as there may be the need to work late from time
to time.
*
Conscientious and enjoy secretarial work as well as administration
*
Complete discretion is required to maintain confidentiality
*
Organised and able to prioritise their own workload, with the ability to use initiative and common
sense
*
Confident personality as the role is required to deal with people at all levels.
*
Ability to work to timescales, attention to detail and the production of work to a high standard
