Our established and well know events-based client is seeking to recruit an Operations Executive to join their team.
MAIN PURPOSE OF THE ROLE
The Operations Executive is responsible for all events operations which includes but is not limited to licensing, safety, risk assessments, regulations and maintenance arrangements. The Operations Executive is a key member of the team with a leading role in operational day to day activity of the organisation.
Main Functions
To assist the Chief Executive in all areas of the business to ensure its smooth running and upkeep as a licensed premise. These tasks include but are not limited too.
Preparing all documents and risk assessments for the Council licenses.
Ensuring that music licensing (E.g. PRS/PPL) are in place and renewed annually.
To ensure that the documentation around being a licensed wedding venue is ready at all times for discussion with the council.
To ensure all electrical, PAT and gas certification are up to date and annually tested in accordance with the safety certificate.
To write and accurately list all site risk assessments for all staff on the grounds, buildings and for visitors.
To ensure all fire safety regulations are updated annually and re-tested/reviewed with the safety officer.
To ensure annual safety checks for the safety certificate license are planned and performed in good time for annual meetings.
To organise relevant maintenance procedures and checks as well as planned or reactive work with internal and external staff.
To ensure the site upkeep and presentation is of a high standard.
To utilise all internal systems and where necessary send out external communications to customers, potential customers and stakeholders.
To learn the website functionality and to assist with its upkeep where necessary.
To work necessary hours for event functions as and when they occur, ensuring the correct rooms are laid out, presentable and signage is appropriately made.
General
Management of marketing activity, including but not limited to, brochure design, poster design and print, artwork, literature, radio and advertising.
Be familiar and competent with Website amendment software and Microsoft Office.
Work is accurate and presented professionally to the agreed standards.
Plans, prioritises and organises workload effectively to ensure all tasks are completed to the best of your ability and in a timely fashion.
On occasional assigned Event days, act as the representative on site ensuring that clients and customers’ needs, and expectations are met.
Answer email and telephone enquiries in a timely fashion.
Be an ambassador for the organisation.
Available to work unsocial hours on occasion when required to meet the demands of the business.
Social Media posting, monitoring and Review as and when required.
All other duties reasonably required by management.
Provide office support, perform admin duties, assist with general enquiries and bookings.
