Responsibilities:

Schedule appointments in staff diaries where needed
*
Follow-ups on phone calls and contacts as appropriate
*
Answer general emails and postal correspondence with customers and suppliers
*
Book meeting rooms as required
*
Liaise with Finance admin to process expenses and invoices
*
Manage budgets and order office supplies
*
File and archive accurate records
*
Contact suppliers
*
Coordinating upkeep of office
*
Manage health and safety as well as fire regulations within the office
*
Negotiate and manage office insurance contracts
*
Manage office subscriptions to magazines and online resources
*
Monitor training material and confirm all kept up to date
*
Negotiate new customer accounts and contracts
*
Arrange travel and accommodation plans when required
*
Manage the customer complaint procedure
*
Organise and audit the company's systems, databases, and procedures
*
Prepare weekly and monthly reports for the directors
*
Provide administrative support for the directors and People and Ops manager as needed
*
May take care of payroll/onboarding procedures and process customer orders
Qualifications / Experience required:
Prior Office Management Experience Preferred.
Proficiency in Microsoft Office.
Good Communication Skills (both verbal and written).
