My client is a Bristol based team of resourceful Solicitors and professional Conveyancers. They are looking for an experienced Conveyancing Secretary to join their well-established team.

Duties:

Give quotes to prospective clients. These can be by Agents sending us an email by way of referral.

If they accept, then open a new file and send out Letters of Engagement. Staple a file checklist to the inside of the file.

Make appointment for clients to come in with their ID and completed forms.

Do ID checks for clients using Credit Safe or arrange for reception to do it.

If clients are selling and we have ID, then we do contract pack to Buyers Solicitors and then do ID

Updating and dealing with Clients and Agents taking attendance notes and recording these on file either in writing or by confirmation of an email which is then filed.

Request redemption statement from present Lender (s) – when received send to client for information.

Print Mortgage Offers & Mortgage Deeds from Lender Exchange and LMS when notified they are available.

Print contract packs which come in from Sellers Solicitors and then drop into case on ALB system.

Do searches on purchase files using Wessex Searches for Drainage and Enviro and Coal Authority for Mining. Local Authority searches are normally done direct via email (Bristol & South Glos) BANES is done online. If property is out of the area, we may use Wessex Searches for that

Fee Earner will give us files to do appointment set ups and copying. This also includes getting documents ready for signature and doing the Stamp Duty Land Tax form.

Submit Certificates of Title with Lenders via LMS and Lender Exchange (some require OS1 and bankruptcy to be uploaded so do those searches first). On some occasions Fee earner has done them already.

Always print COT for file.

Monies come in all the time so print print-out and do chitty for Accounts and a copy for file.

Prepare sale and purchase files for completion.

Do completions on the day. Phone calls and emails to confirm. Also submit SDLT return and type TT form to pay any stamp duty. Also do Chancel Indemnity with Legal & Contingency

Submit AP1 to the Land Registry.

Once completed then deal with the registration. The Office Copies for some matters have to be uploaded onto LMS and a copy sent to clients. Check file then has a NIL balance.

Close clients Help to Buy ISA accounts (online) and also LISA accounts normally by email. This procedure normally has supporting documentation to be provided by client.

Deal with any Land Registry requisitions (where able).
