Role: Immediate Start – Facilities Coordinator

Our Client is an exciting organisation to work for, looking for an experienced Facilities Coordinator to join them on a temporary basis for 6 months.

Reporting to the Facilities Manager, the Facilities Co-ordinator will provide support for the operational management of Centre and office facilities. This will include managing suppliers and stakeholders, ensuring the highest standards of customer service and delivering to demanding deadlines. The role will be required to work on a flexible basis, out of hours and at weekends as required.

JOB TYPE: Temporary – Available Immediately – You must be available immediately if you apply for this role

HOURS: 09.00am – 5.00pm

SALARY: £15 per hour

LOCATION: London – This is not a remote role

DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO:

Day to day running of the facilities office, logging and tracking issues and requests via CAFM, our Facilities Management System.
Ensuring any building user issues are followed up and resolved appropriately and in a timely manner
Co-ordinate the Property maintenance programme of works both ongoing & reactive, including decorative upkeep
Co-ordination of any refurbishments, renovations and office moves
Co-ordination and facilitation of third party suppliers in their provision of facilities services
Record keeping of third party suppliers
Logging and processing supplier POs and Invoices
Point of contact for health and safety in the business including administration of permit to work system, ensuring risk assessments and method statements (RAMS) are in place for all facilities activities.
Ensuring all site H&S documentation is kept up to date and in line with statutory requirements
Liaise with site users to program any works around site activities and Studio operations
Organise planned preventative and statutory maintenance and testing
Management of cleaning and catering services across the TVC site
Work with the Facilities Team, Studio Production Liaison Manager and Studio Resource Managers to ensure a continued excellent customer experience for Production Teams and clients
Work proactively to develop and improve the facilities on site
Respond appropriately to emergencies or urgent issues as they arise
Updating of the studio schedule documentation to reflect any changes and amendments

SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:

Proven experience of coordinating and supporting delivery of Facility Manager Services
Technical knowledge of building services
Customer focused with excellent communication and negotiation skills (written and verbal)
Problem solving and decision making skills
Proactive and able to work under pressure
Ability to manage a varied and complex workload
Ability to prioritise and delegate tasks when required
Presentable and smart in appearance
Team player
Competent with Microsoft Outlook, Word, and Excel
