Hours: 37.5 hours a week – Monday to Friday
Our client, one of the UK’s leaders in providing innovative construction and engineering solutions for clients within a variety of sectors including Retail, Health, Education and Commercial, now has an immediate need to employ a reliable Contracts Administrator to work across their internal business divisions who will deal with all administrative duties across defined FM contracts.
Job Function:
The tasks of the contract administrator will work directly with the account manager and engineering planning teams to ensure all relevant administrative tasks are carried out and that the planning team are fully updated on contract matters as and when required. The ideal candidate will be competent in prioritising workload and working with little supervision. They will be self-motivated and enjoy solving problems within a fast-paced environment.
Principle Accountabilities:
* Act as a first point of contact with client teams, managers and senior team
* Manage databases and works (trackers)
* Use the CAFM system to review and assign tasks, ensuring that deadlines and KPIs are consistently met and that tasks are logged correctly with a high degree of accuracy and detail.
* Manage phone calls and correspondence relating to the account
* Liaise with internal teams when needed
* Update records and databases with personnel, financial and other data
* Submit timely reports and prepare presentations/proposals as and when required
* Provide direct administrative support to the account manager
Key Experience Required:
* Proven experience as an office administrator, office assistant or relevant role
* Outstanding communication and interpersonal abilities
* Excellent organisational skills
* Excellent knowledge of MS Office and office management software
* High attention to detail and work with a high degree of accuracy
* Familiarity with office management procedures and basic accounting principles
* Previous knowledge in one or more of following areas desirable. Refrigeration, M&E, Construction, Fire & Security.
