Summary
To schedule and coordinate all the Compliance certifications required by our clients, who own large property portfolios across the UK. Certifications include Gas, Electric, Fire Alarm & Emergency Lights, Legislation, Fire Risk Assessments, Fire Fighting Equipment and PAT testing (Portable appliance).
The job is based in Blackburn (Whtiebjrk), Lancashire.
The pay is £22000 Per Annum.
The role:
* Be a key contact with our clients' maintenance department to ensure compliance certification jobs are scheduled and completed by our suppliers in a timely manner.
* Ensure all due dates for certifications are tracked and scheduled for completion for each of the buildings or properties that Renovate maintain for our clients.
* Utilize the maintenance scheduling and tracking system for planning and coordinating all certifications with our suppliers, to ensure efficient time management and costings.
* Monitor the timely completion of the certification jobs on a daily/weekly basis.
* Respond to queries in relation to certifications from Renovate, clients and suppliers.
* Load the certificates into the maintenance scheduling and tracking system for access by clients and to allow Renovate to manage the end-to-end certification process for clients.
* Locate and issue copies of certificates to our customers as required via email.
* Develop an excellent working relationship with our field maintenance teams and external contractors, to ensure clear, regular and open communication channels.
* Receive, upload and process quotes from suppliers of the certification services.
* Create Renovate quotations for compliance work and issue to customers.
* Participate in regular client meetings to track progress and monitor Renovate performance for compliance certification work.
* Provide regular updates to Renovate management team and help identify improvements in processes.
* Assist with Maintenance job scheduling, invoicing or any other related activity as directed.
* Prior planning or property maintenance trade experience is required, especially coordinating people from various trades who are working in the field
* An understanding of different certifications needed to maintain compliance with regulations, is required
* Quick learner, computer literate and able to work effectively using our maintenance and scheduling tool (simPRO) and accounting package (Xero). Full training will be provided.
* Excellent administration skills and a professional telephone manner.
* Excellent customer service skills and good at building relationships with suppliers and clients
* Well-organised and able to juggle several tasks successfully
* Able to plan and prioritise activities, and work well under pressure on their own or in a team
* Good at problem-solving and displays initiative to deal effectively with different types of issues.
* Excellent attention to detail in order to maintain high quality of work and achieve objectives
* Willing to assist and support the maintenance coordination activities for all trades, as necessary
