A successful & impressive company at the top of their specialist sector within the design industry and who provide innovative solutions for their high-profile client base has the exciting opportunity for an individual to join their team, to work with internal and external team in coordination of design projects. The mix of skill required for this role needs to include a working knowledge of the software products below, along with administration experience and the ability to liaise confidently with project designers, sub-contractors, building control departments and third party clients delivering relevant contract forms and documents necessary.

You will need to be experienced using the following essential software to apply for the role:

o Adobe InDesign
o MS Office
o PowerPoint
o Excel

Role & Responsibilities:

Presentation Documents:

* Working with the team to provide Pitch Documents by using InDesign and PowerPoint. This will involve changing images relevant to the pitch, including the text as directed by the sales team and importing costs, often from Excel from the Pre-Construction Managers.
* Following the first draft of the document, this will be reviewed by the teams involved in the pitch and any necessary changes made.
* Taking ownership and managing this process, becoming a single point of liaison.
Tender Documents:
* Working with the team on tender documents and pre-qualification questionnaires.
* Help to keep deadlines in place and collate information to be sent out to mechanical and electrical sub-contractors.
* Collect information for jobs Area is tendering for.

Project Tasks:

* Working with the team to keep CRM opportunities and the pipeline up to date.

Operational & Maintenance Manuals (O&M):

* The Corporate Accounts Administrator is responsible for updating the O&M manuals at the end of each project, working with an external third party to help collate information.

Site Set Up Files

* Build relationships and liaise with different departments including project design team, building control, Health & Safety team and third party providers.
* Enter documentation into an O&M manual following the correct document structure.
* Save relevant documents onto USB's and send via links to teams and clients.
* Responsible for creating set up packs consisting of a health & safety file and site management file.

Typing Minutes

* Issue meeting agenda's and required to attend weekly sales meetings to type up minutes, populate spreadsheets alongside CRM and circulate them accordingly.
General Administration:
* Answering phone and meeting guests via door entry system.
* Monitor and maintain electronic and paper filing system.
* Diary management for Director and team.
* Extensive sub-contractor and client liaison by phone and email.
* Organise events.
* Assist Marketing department with information for case studies upon project completion.
* Raise purchase orders (PO's) for Project Managers.
* Complete certificates at project conclusion.
* Booking flights and hotels.
* Arranging meetings and booking meeting rooms.
* Supporting Site Managers with various admin.
* Update warranties & contract tracking.

Professional Skills & Experience Required:
o Ability to demonstrate a strong background in administration ideally within the Construction industry.
o Experience of producing presentation documents.
o Strong knowledge of MS Office and InDesign is essential.
o Possess good communication skills both verbal and written.
o Service minded and professional approach.
o Experience of working in a fast-paced environment, coping well with working with strict deadlines.
